For brokerages

Every deal in your office, on one board.

One system for transactions, contracts, documents, CRM, commissions and marketing, with an assistant working inside it. One subscription instead of six. One place where a broker can see what is closing, what is late and what is missing, without asking a single agent.

You are liable for files you cannot see.

Your name is on the compliance file, but the deal lives on an agent's laptop, in their inbox, and in a group chat you are not in. You find out about a missed inspection deadline when the buyer's attorney calls.

You find out a file is incomplete during an audit. The tools you bought were sold to agents one at a time, none of them were ever built for the person who carries the licence.

What changes

What a broker actually sees on day one.

None of this requires an agent to file a report or update a status for you. It comes off the work itself.

01Every active deal in the office, by stage, with its next deadline.
02Which files are complete and which are missing a document, live.
03What is closing this month, and what it is worth.
04Production by agent, by team, by month.
05Every deadline at risk across the whole office, flagged before it passes.
06Who changed what, when, on any deal, including the assistant's own work.

Compliance

The file is assembled by the time you need it.

Every transaction carries the document checklist its type requires. Documents arriving by email, upload or signature are read, filed and matched to their line as the deal runs.

By closing, the compliance file already exists. Transaction records are retained for seven years, and the audit certificate for every signature is stored with the deal.

Control

Roles, and who sees which contact.

You decide what each person can open. Agents see their own deals; team leaders see their team's; management sees the office.

Client names are visible to everyone working a deal, because a deal cannot be worked blind, but contact details stay with the people who own the relationship. Coordinators get access to the files they work, and never hold commission splits.

Teams

Teams set up the way they really are.

A team can have as many leaders as it actually has. Plenty run with two or three, and every system that assumes one causes an argument on day one.

Teams get their own shared pipeline and their own splits, inside your brokerage's numbers rather than beside them.

Moving the office

How an office actually gets onto it.

We move a brokerage in stages, and we do it with you rather than sending a PDF.

1

Import

Contacts and past deals come in from a spreadsheet or a folder of signed PDFs, closed deals included, so year-to-date is right the first time you open the dashboard.

2

Set your standard

Onboarding collects your office's forms, a slot for each. Hubia helps you map them — it proposes the fields, you confirm — along with your checklist and preferred-vendor list.

3

Agents in groups

People come on in waves, starting with new contracts, so no live deal is migrated mid-flight.

Cost

$29 per user, per month.

Or $278.40 per user billed once a year, which works out at $23.20 a month. Every feature is included, there is no edition where the useful parts are locked.

Each user brings 150 AI credits a month, pooled across the company, and 20 active transactions, also pooled. Automatic deadline monitoring never costs a credit.

Straight answers

What brokers ask us first.

Answered here so you do not have to spend the call on them.

Do you sell my agents leads?

No. We do not sell leads, and we will never resell your agents' data.

Is my data mixed with other brokerages?

No. Your clients, deals and documents live under your own company, and that separation is enforced in the database itself — another brokerage cannot reach them through the app or any query.

Do you include the Florida forms?

We are working to have them available as soon as possible. In the meantime, onboarding has a slot for each form your office already uses; Hubia helps you map them — it proposes the fields, you confirm — and from then on reads and fills them for everyone.

What about MLS?

Available through MLS Grid, with your brokerage's approval and the MLS's data fee. Public-record comps work in the meantime.

Are you SOC 2 certified?

Not today. The security page states exactly what we do have and what we are working on.

What if we leave?

You export everything, whenever you want. Transaction records stay for the period the law requires brokers to keep them (five years in Florida; Hubia keeps seven), then we delete what remains. It is your data — that is in the contract.

Thirty minutes. Then you decide.

In a live walkthrough we set up a deal with you and show how Hubia reads the contract, sets the dates and files the documents — on your screen, in your language.
