Privacy policy
What we collect, why, who touches it, and how to get it back or delete it.
What this covers
This policy covers the Hubia platform and this website. It applies to the people who subscribe (agents, brokerages, transaction coordinators) and to the individuals whose information they put into the system, clients, counterparties, lenders, inspectors and vendors.
What we collect
Account data (name, email, phone, brokerage, licence details you choose to store). Transaction data (properties, dates, parties, documents, contracts, signatures). Communications you route through Hubia (email, SMS and WhatsApp messages associated with a deal). Usage data (log-ins, actions taken, AI actions metered as credits). Payment data is handled by our payment processor; we do not store full card numbers.
Why we use it
To run the service you subscribed to: build and track transactions, file documents, send the messages you ask us to send, meter AI usage, bill you, and support you. We also use aggregate, non-identifying usage data to improve the product.
What we do not do
We do not sell personal data. We do not share your records with another company or account on Hubia. We do not use your content to train general-purpose AI models.
Google user data
Data obtained through Google APIs (for example a connected Gmail or Google Calendar) is used only to provide those connected features. Its use complies with the Google API Services User Data Policy, including the Limited Use requirements, and is never used to train general-purpose AI models.
Who processes data on our behalf
We use sub-processors for hosting, storage, email delivery, messaging, payments, AI processing and property data. The current list is published on the subprocessors page, and we will notify customers before it changes.
Where your clients' data comes from
Much of the personal data in Hubia is entered by our customers about their own clients. In that arrangement the customer is the controller and Hubia is the processor. Customers are responsible for having the right to enter that data and for obtaining any consent required, including consent to receive SMS and WhatsApp messages.
Retention
Transaction records are retained for seven years after closing to meet real-estate record-keeping expectations. Account data is retained while the account is active. On termination, data is retained for a limited export window and then deleted, except where law requires us to keep it.
Your rights
You may request access to, correction of, export of, or deletion of your personal data. Customers can export client lists and reports at any time, and every uploaded document remains downloadable from its deal.
Cookies
This site and the product set strictly necessary session and authentication cookies, and preference cookies for your language and interface choices. Analytics, where used, is aggregate and non-identifying.
